EVENTS
Scheduling
Classes should require a four-week advance notice to schedule. The advance notice is to allow for publication deadlines in the local media (Alibi, Journal, KUNM) and to provide sufficient local and word-of-mouth advertisement. Items will be entered into the Quelab Calendar, with the intent of being republished by the New Mexico Tech Council, and placed on the Alibi, Journal, and KUNM events calendars (See Media Contact List). Instructors are encouraged to advertise in their own manner (Facebook, own site, etc.) as well.
Costs
By default, classes are $15 per hour, with members receiving a $5 discount. Materials fees will be extra and are not discounted. Tickets can be sold via Eventbrite if a limited number of seats is desired or if materials fees need to be collected in advance (eg Judobots, screen printing, Arduino April). We'd need to know which room the class will be using, and how many hours would be needed. A Captain Quelab will be needed to open and close the lab and handle waivers and payments. This can be the teacher if they are a member (but preferentially it would be someone else, because teachers have more on their mind the day-of). Teachers do not have to be members, however, and we encourage outside teachers.
Classes which are paid for outside of Quelab will charge 20% of the class-fee per person (minimum $7.50) to the instructor. Fellow non-profits will be charged flat-fee of $7.50 per student-day. Classes which are paid for through Quelab can reimburse the instructor up to $7.50/student-hour ($15/student for a 2-hour class), and materials fees will be reimbursed in full.
For an event a member can have up to 7 guests, allowing for modularity of larger groups or meetings, by making them add a paid member per 7 people. This way even if a small event blooms bigger than expected, the organizers can just on the spot grab a monthly membership and extend the group size (with the bonus of having a membership for a month for one of them).
This will support meetings of non-member events, and can handle small events. Larger events, or things which charge an entry fee will pay 20% of the daily entry fee per person (minimum $7.50) as a 'rental fee' and keep the rest of their revenue. Fellow non-profits charging an entry fee will be charged a flat-fee of $7.50 per person/day.
Non-members must pay hacknight fees if an event occurs during hacknight hours.
Examples
Example 1
A large and extended workshop, Arduino April 2.0, instructor(s) will get 'paid' for each structured class day (one a week), but not for the open lab sessions (aka hacknights). To schedule this workshop , the class would have to be suggested and proposed no later than 15 February. Materials fees would be $100, come with an Arduino, the Arduino Cookbook book, a parts-kit, and a Friends Card. Class will meet every Saturday during the month in the electronics lab (PFUDOR). The instructor would get a payment on the 26th of April for at least $60 for each student who shows up to every workshop day. A BOM is required; either the treasurer orders the materials for the class as Quelab, or a receipt is provided for reimbursement.
Example 2
Old School wants to hold an event at Quelab, and charges $15 per person. They'll owe us $7.50 per person who shows up, and will have to coordinate with a member to open and close the space.
Example 3
Weberquerque wants to teach, and charges $40 for a two day Wordpress class on their website. They'll owe us $16 per person who shows up, and coordinate with a member to open and close the space each day.
Example 4
A group of RenFaire pirates want to use the workshop for a weekend to build a cannon. None of their group are Quelab members; at least one person will have to join for every seven people building the cannon (or get an existing member to chaperone them). Everyone working with the tools MUST sign waivers, but get 24-hr access as long as their member-chaperone is present.
Example 5
The Antique Radio Club wishes to hold their monthly meeting on Sunday night at 7PM (during a scheduled hack-night); all attendees who are not Quelab Members must pay a $5 hacknight fee.
Example 6
We host a chainmail class, and we run the eventbrite for the teacher. The class is scheduled for 2 hours, so we price it at $30 plus materials. We pay the teacher $15 per person and pass along the materials fees.
